Purpose of this Position
The Office Administrator is tasked with managing the day-to-day operations of the church.
Weekly Hours
25 hours per week: 9:00 am – 2:00 pm Monday through Friday
Priorities, Responsibilities and Duties:
1. Answer phones and greet visitors to the church.
2. Collect mail and email, distributing to and communicating with staff and leadership, as necessary.
3. Maintain membership records.
a. Keep database (Realm/Connect) updated with current contact information.
b. Input the weekly attendance into excel spreadsheet and share relevant information on church involvement, as necessary.
c. Handle paperwork (certificates, letters of transfer, etc) surrounding church memberships, baptisms, weddings and funerals.
4. Oversight and preparation of weekly and monthly communication for the congregation
a. Oversee preparation of weekly bulletins and bulletin inserts, including special inserts for holidays/projects
b. Oversee coordination of Prayer Concerns for the congregation.
c. Oversee publication of weekly E-Note.
d. Prepare Liturgist announcements and relevant information for Sunday morning.
e. Email worship supporters and key volunteers each week.
5. Prepare worship support, as necessary, using tools provided.
a. Prepare Easy Worship presentations and load weekly.
b. Prepare announcement videos and load to Easy Worship and Dropbox.
c. Oversee orders of altar flowers, Easter flowers/Palms, Christmas Poinsettias
6. Coordinate advertising for the church.
a. Maintain and update online communications (Facebook, Website, etc)
b. Design and order signs for front lawn, and coordinate display with maint/cust staff
c. Coordinate advertisements online and in local papers for special services and events.
7. Function as Financial Secretary, working with the Treasurer
a. Input the weekly contributions into database, making sure all funds are allocated correctly.
b. Aid in reconciliation of bank statements each month
c. Generate financial reports for staff and committees as needed.
d. Maintain the church credit card and statements.
8. Maintain church, gathering area, sanctuary, and barn calendars.
a. Update Google calendars as necessary, and post printed copy weekly.
b. Coordinate all contracts, administration and finances for church events.
9. Attend Staff Meetings, keep the notes for the meetings and assist pastor with the agenda.
10. Collect and submit payroll hours.
11. Make sure supplies are on hand and order as needed.
12. All other duties as assigned by pastor pertaining to the office.
